Fully Managed HVAC Lead Generation
Predictable, high-intent HVAC leads generated directly for your brand.
Your HVAC company pays the advertising platforms directly. LeadStead manages the acquisition system behind the results — including Google Ads, Meta Ads where appropriate, dedicated landing pages, call and form tracking, lead qualification and ongoing optimization.
LeadStead charges a flat $2,500 monthly management fee with no additional per-lead charge. New campaigns are backed by a 30-day performance guarantee: we agree on a measurable qualified-lead benchmark before launch, and if the campaign does not meet it within the first 30 days, the first month’s LeadStead management fee is refunded, subject to the campaign terms.

WHAT COUNTS AS AN HVAC LEAD
You Only Care About Booked Jobs. We Only Count Qualified Leads.
Before launch, we agree on the exact criteria used to classify qualified HVAC inquiries. Those rules give both sides a consistent way to measure lead quality, campaign performance and the first-30-day benchmark.
A Qualified HVAC Lead
A lead generally qualifies when the customer:
- Is requesting an HVAC service included in your campaign
- Is located within your approved service area
- Provides valid contact information
- Is a genuine homeowner, property manager or business seeking service
- Meets any additional criteria agreed upon before launch
Depending on your campaign, qualified services may include AC repair, furnace repair, replacements, installations, heat pumps, maintenance or other approved HVAC services.
What Does Not Count
These inquiries are excluded when LeadStead reports qualified lead volume and evaluates the agreed performance benchmark:
- Spam, bots or fraudulent submissions
- Job seekers or employment inquiries
- Vendors and sales solicitations
- Customers outside your approved service area
- Requests for services you don’t offer
- Invalid or unusable contact information
- Duplicate leads within the agreed duplicate window
- Other exclusions established before the campaign launches
Qualification Rules Are Agreed Upon in Advance
There is no moving target. Before launch, LeadStead and your team define the services, territory, exclusions and qualification rules for your campaign.
If an inquiry doesn’t meet those agreed criteria, it isn’t counted as a qualified lead when we report campaign performance or evaluate the 30-day benchmark.

PREDICTABLE ACQUISITION COSTS
A $2,500 Flat Fee to Power Your Lead Engine
Two Separate Costs. No Per-Lead Fees.
Your advertising spend and LeadStead’s $2,500 monthly management fee are separate. Your business pays the advertising platforms directly, while LeadStead charges one flat monthly fee to manage and optimize the acquisition system.
There are two primary costs to consider:
1. Your Advertising Spend
Your business pays Google, Meta or another approved advertising platform directly.
You control the advertising budget and approve the maximum amount you are comfortable spending. LeadStead requires a minimum $5,000 monthly media budget for this managed program.
2. LeadStead’s Monthly Management Fee
LeadStead charges a flat $2,500 monthly management fee for campaign strategy, Google and Meta Ads management, landing pages, tracking, qualification, reporting and ongoing optimization.
There is no additional LeadStead fee for each lead generated. If the campaigns become more efficient and generate more qualified opportunities within the approved media budget, your LeadStead management fee remains $2,500.
What That Can Look Like
Here is a simplified example of how the flat-fee HVAC model can work:
Monthly Advertising Budget
$6,500
Qualified Leads Generated
50
Advertising Cost per Qualified Lead
$130
LeadStead Monthly Management Fee
$2,500
Additional Per-Lead Fee
$0
Total Campaign Cost: $9,000
Effective Cost per Qualified Lead: $180
In this example, the HVAC company spends $6,500 directly on advertising and pays LeadStead the flat $2,500 monthly management fee. If 50 qualified opportunities are generated, there is no additional per-lead charge.
Your Actual Numbers Will Be Different
HVAC lead costs vary by market, competition, season, service type and advertising platform. A furnace replacement campaign in one city may have very different economics from an AC repair campaign in another.
That’s why we review your market, services and expected lead costs before recommending a budget.
The goal isn’t to generate the cheapest leads possible. It’s to generate qualified opportunities at an acquisition cost that makes sense for your business.
Example above is for illustration only and is not a guarantee of lead volume or advertising cost.
30-DAY PERFORMANCE GUARANTEE
We Hit Your Target Lead Volume, or We Refund Our Fee
Before your first HVAC campaign goes live, LeadStead and your team agree on a measurable first-30-day performance benchmark based on the services being promoted, your market, approved media budget and qualified-lead criteria.
1. Define Success Upfront
The benchmark is documented before launch so both sides know what LeadStead is expected to achieve. It can consider qualified lead volume and acquisition efficiency rather than clicks, impressions or unqualified inquiries.
2. Give the Campaign 30 Days
LeadStead builds, launches and optimizes the campaign during the first 30 days while tracking qualified HVAC calls and service requests against the agreed benchmark.
3. Miss the Benchmark? We Refund Our Fee.
If LeadStead does not meet the agreed first-30-day performance benchmark, the first month’s $2,500 LeadStead management fee is refunded, subject to the campaign terms and eligibility requirements.
The guarantee applies to LeadStead’s first-month management fee only. Advertising spend paid directly to Google, Meta or another advertising platform is not refundable by LeadStead. Eligibility requires maintaining the agreed media budget and campaign conditions during the guarantee period.

HVAC LEAD GENERATION FAQ
Common Questions About LeadStead’s HVAC Ads Management Program
How much does LeadStead charge for HVAC advertising management?
LeadStead’s management fee is $2,500 per month for the managed HVAC acquisition program.
The fee covers campaign strategy and management, Google Ads and Meta Ads where appropriate, dedicated landing pages, call and form tracking, lead qualification, reporting, lead-delivery infrastructure and ongoing optimization. There is no additional LeadStead fee for each lead generated.
Is advertising spend included in the $2,500 monthly management fee?
No. Advertising spend and LeadStead’s management fee are separate.
Your HVAC company pays Google, Meta or another approved advertising platform directly. LeadStead’s managed program requires a minimum $5,000 monthly media budget.
How does the 30-day performance guarantee work?
Before launch, LeadStead and your team agree on a measurable first-30-day performance benchmark based on your market, services, approved advertising budget and qualified-lead criteria.
If LeadStead does not meet that agreed benchmark within the first 30 days, the first month’s $2,500 management fee is refunded, subject to the campaign terms and eligibility requirements. Advertising spend paid directly to Google or Meta is not refundable by LeadStead.
What is the 30-day performance benchmark?
The benchmark is established before the campaign launches rather than using one universal target for every HVAC company.
It may consider qualified lead volume, advertising cost per qualified lead and other agreed acquisition-efficiency measures based on the HVAC services being promoted, market competition and approved media budget.
Who pays Google or Meta?
Your business does.
Advertising charges are paid directly from your business to the advertising platform rather than passing through LeadStead.
Who owns the advertising account?
Your HVAC business owns and controls the advertising account used for the campaign.
LeadStead receives the management access required to build, monitor and optimize the approved campaigns.
What counts as a qualified HVAC lead?
Generally, a qualified lead is a new prospective customer within the approved service area who is genuinely requesting an HVAC service included in the program and provides enough valid information for your team to reasonably pursue the opportunity.
The exact service types, geography, exclusions and other qualification rules are documented before launch and are used to measure campaign performance.
What happens if a lead is spam or irrelevant?
Spam, obviously fake inquiries, job seekers, vendors, unsupported services, out-of-area prospects and other agreed exclusions are not counted as qualified leads when LeadStead reports campaign performance or evaluates the agreed benchmark.
Are phone calls counted as HVAC leads?
Yes, when the call represents a genuine HVAC opportunity and meets the qualified-lead criteria established for the campaign.
Wrong numbers, job seekers, vendors and unrelated calls do not become qualified simply because someone called a campaign tracking number.
How are HVAC phone calls tracked?
Dedicated campaign phone numbers can route calls directly to your HVAC business while allowing LeadStead to attribute each call to the advertising source and campaign.
Depending on the setup, call duration, answer status, recordings, transcripts and qualification status may also be reviewed to help measure lead quality and campaign performance.
Do you use our existing HVAC website?
Not necessarily.
Your existing HVAC website can be used when it supports the campaign properly, but dedicated campaign landing pages often give LeadStead tighter control over conversion, tracking, speed and testing.
Can the landing page use our HVAC company branding?
Yes. Campaign pages can use your company branding and may operate on a subdomain such as quote.yourcompany.com, get.yourcompany.com or another approved address.
Why is there a $5,000 minimum advertising budget?
Paid advertising needs enough traffic and conversion volume to generate meaningful results and data. Very small budgets often do not provide enough activity to evaluate qualified lead performance reliably or optimize effectively.
The $5,000 minimum is media spend paid directly to the advertising platforms and is separate from LeadStead’s $2,500 monthly management fee.
Can I set a maximum advertising budget?
Yes. Your business approves a maximum media budget, and LeadStead manages within those agreed spending parameters.
Is there a maximum number of HVAC leads I can receive?
No arbitrary lead cap is imposed simply because the campaign is performing well.
If LeadStead improves campaign efficiency and generates more qualified opportunities within your approved advertising budget, your $2,500 monthly management fee does not increase because of the additional lead volume.
What happens if the campaign generates more leads than expected?
That is generally a positive outcome, provided your HVAC business has the capacity to handle them.
If technician availability or sales capacity becomes an issue, budgets, schedules, services or territories can be adjusted. LeadStead does not charge an additional fee for each extra lead generated.
Does the performance guarantee mean every lead will become a customer?
No. LeadStead’s benchmark measures agreed customer-acquisition performance, not guaranteed booked jobs or revenue.
Your response speed, appointment availability, pricing, estimates, reputation, sales process and follow-up all affect whether a qualified HVAC opportunity becomes a paying customer.
What HVAC services can the campaign target?
Depending on your business and market, campaigns may target services such as:
- Furnace repair
- AC repair
- HVAC repair
- Furnace replacement
- AC replacement
- Heat-pump installation
- HVAC maintenance
- Commercial HVAC
- Other approved HVAC services
Is LeadStead an HVAC lead vendor or a marketing agency?
LeadStead operates as a managed customer-acquisition partner rather than a shared lead marketplace.
We manage the advertising, landing pages, tracking, qualification and lead-delivery infrastructure for your HVAC business under a flat monthly management fee. Leads generated through your dedicated campaign are not resold by LeadStead to competing HVAC companies.
